This Privacy Policy explains how CONSULTING WITH RNR LLC, which operates ClearTrace, handles personal information. CONSULTING WITH RNR LLC is the data controller for personal information processed through ClearTrace, meaning we decide how and why it is used.
1. Information we collect
- Account information: name, email address and login credentials.
- Identifiers you add for scanning: such as names, email addresses, phone numbers, usernames and locations you choose to monitor.
- Consent and authorisation records: confirmations you give before scans or removal requests.
- Scan results and removal cases: public-web results found for your identifiers, and the status of requests you track.
- Support communications: messages you send us.
- Technical and usage data: IP address, device and browser information, and activity logs used for security.
- Subscription status: your plan and billing status as reported by Paddle. We do not receive or store your full card details.
2. Why we use it, and our legal basis
- To create your account and provide scans, removal guidance, tracking and monitoring (performance of our contract with you).
- To run scans only with your consent and authorisation (consent; you may withdraw it at any time).
- To keep the Service secure, prevent fraud and abuse, and enforce usage limits (legitimate interests).
- To provide customer support and send service messages (contract and legitimate interests).
- To improve the Service using aggregated usage information (legitimate interests).
- To comply with legal, tax and accounting obligations (legal obligation).
We do not sell your personal information and do not use it for third-party advertising.
3. Who we share it with
- Service providers: hosting, database, authentication and email providers that process data on our behalf.
- Public-web search providers: when you run a scan, the search terms derived from identifiers you added are sent to search providers to retrieve public results.
- AI processing: where you use AI-assisted features, relevant content is processed by an AI service provider to generate guidance.
- Paddle: our Merchant of Record, for selling subscriptions, payments, subscription management, tax compliance and invoicing. Paddle handles payment data under its own privacy notice.
- Professional advisers: such as legal and accounting advisers.
- Authorities: where required by law or to protect rights and safety.
Removal requests are sent to third-party websites only when you choose to submit them.
4. Security
We use appropriate technical and organisational measures to protect your information, including encryption in transit, per-account access controls, and restricted access to systems. No method of transmission or storage is completely secure.
5. Retention and deletion
We keep your information while your account is active and as needed to provide the Service. You can export your data or delete your account from your account settings at any time. When you delete your account, your personal information is deleted or anonymised, except limited records we must keep for legal, tax or security reasons, which are deleted when no longer required.
6. Your rights
Depending on where you live (including under U.S. state privacy laws and, where applicable, the GDPR), you may have the right to access, correct, delete or receive a copy of your information, to object to or restrict certain processing, to withdraw consent, and to complain to a data protection authority. Many of these can be done directly in your account; otherwise email us and we will respond to verified privacy-rights requests within the time required by applicable law. We aim to respond as promptly as reasonably possible. Where applicable law permits an extension, we will notify you as required. We will not discriminate against you for exercising your rights.
7. International transfers
ClearTrace is operated from the United States and our providers may process data in the U.S. and other countries. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses.
8. Cookies and local storage
We use only essential cookies and browser storage needed to keep you signed in, remember preferences and keep the Service secure. We do not use advertising cookies. Paddle's checkout may set its own cookies when you make a purchase.
9. Children
ClearTrace is not intended for anyone under 18, and we do not knowingly collect their information.
